Our team serves over 21,000 patients and includes 16 family physicians along with a host of other care providers, each bringing expertise in their specific area of diagnosis, treatment and care.

We help you manage your health by improving access to care and offering programs and services that promote health and manage chronic diseases. Description:  The London Family Health Team (LFHT) is seeking a highly organized, resourceful and detail-oriented Medical Office Administrator to join our team.

Medical Office Administrator

We are seeking a professional, compassionate, and highly organized Medical Office Administrator to join our team. The successful candidate will provide excellent administrative and patient support in a busy primary care environment and will be comfortable working efficiently while maintaining a high level of accuracy, confidentiality, and professionalism.

Responsibilities:

  • Answer incoming telephone calls and appropriately triage patient inquiries
  • Communicate results and instructions to patients in person and by telephone
  • Schedule and triage appointments according to priority
  • Send and retrieve faxes and emails
  • Scan and electronically file documents in the EMR
  • Book referrals, diagnostic tests, and follow up professionally on their status
  • Greet, register, and direct patients to examination rooms
  • Verify patient demographics, health information, and health card validity
  • Assist with billing and payments, including OHIP, non-OHIP, WSIB, and third-party billing
  • Prepare examination rooms and equipment for medical procedures as required
  • Assist with sterilization/autoclaving of instruments
  • Obtain and document patient measurements, including height, weight, blood pressure, urine dips, and infant measurements
  • Assist with immunizations, including safely holding babies/toddlers when required
  • Clean and sanitize examination rooms and maintain a clean, organized, and welcoming environment
  • Monitor and maintain office and medical supply inventory
  • Perform other administrative and clinical support duties as required

Qualifications:

  • Medical Office Administration diploma is an asset, but not required
  • Previous experience as an administrative or medical office assistant
  • Experience with an Electronic Medical Record (EMR); TELUS Health PS Suite experience will be prioritized
  • Proficiency in medical terminology required
  • Experience with Microsoft Office, including Word, Outlook, and Excel
  • Experience with Adobe Acrobat Pro
  • Knowledge of immunization schedules
  • Excellent written and verbal communication skills
  • Excellent interpersonal and customer service skills
  • Ability to work quickly, efficiently, and professionally in a busy environment
  • Strong attention to detail with the ability to prioritize and multitask
  • Demonstrated initiative, independent judgment, problem-solving skills, and reliability
  • Ability to exercise discretion, maintain confidentiality, and adhere to ethical standards
  • Respectful, kind, empathetic, and positive approach to patients and colleagues
  • Fluent in written and spoken English


French Proficiency:  French an asset

Salary:  $20.00 - $22.00 per hour (based on experience)

Terms of Employment:  Part-time
